How to Track Job Costs So Every Material Receipt and Hour Is Accounted For
When expenses are recorded only at the end of the quarter, individual job margins disappear. Linking costs as they happen protects both your invoices and your tax deductions.
1. Separate Job-Specific Costs From General Overheads
Direct job costs (timber, paint, parts, green-waste tip fees, subcontractor hours) belong on the job record so you can pass them on or measure job margin. General overheads (phone, public liability insurance, accounting fees) belong in general business expenses.
2. Capture Receipts at the Counter or in the Ute
Use Document Capture or Tell PROFONZ immediately after purchasing materials so the receipt photo, GST amount, and job link are saved in under 15 seconds.
